Configure Webinar Q&A Agent Settings In NexaEra
"Running a webinar with hundreds of people in the chat? Questions fly by faster than any host can answer. This is where your Meeting Agent earns its keep — it listens to the live session, catches every question, and serves up instant, accurate answers. In this walkthrough, I'll show you how to set one up for webinars in just a few clicks."

1. Introduction
"Here's what you'll be able to do by the end: apply a one-click webinar preset, turn on proactive and voice modes, auto-post answers to your team channel, and customize trigger phrases and talking points for real audience engagement."

2. Access All Agents Section
"Start by clicking 'All Agents' in the left menu. This opens the list of every agent in your workspace."

3. Open Support & Refunds Assistant
"Click the agent you want to configure — here it's the Support & Refunds Assistant. Pick an existing agent, or create a new one if you're starting fresh."

4. Select Meeting Agent
"Along the top of the agent editor, click 'Meeting Agent.' This is where you control how your agent behaves during live meetings — the links it offers, the phrases that trigger it, and the talking points it leans on."

5. Choose Webinar Preset Description
"At the top, you'll see the Webinar Mode Preset. This is a one-click setup optimized for large-audience Q&A. It loads over 30 trigger phrases, FAQ talking points, and a webinar-tuned system prompt — all in one shot. Look at the tags to see exactly what it turns on."

6. Apply Webinar Preset
"Click 'Apply Webinar Preset' on the right. This loads all those preset values into the fields below, so you're not starting from a blank page."

7. Confirm Preset Application
"A confirmation window pops up. Heads up — this overwrites your current trigger phrases, talking points, system prompt, and behavior toggles with webinar-optimized defaults. Your offer links and auto-post settings stay safe. Click 'Apply Preset' to confirm."

8. Enable Proactive Mode
"Now scroll to the Behavior section. Turn on 'Proactive Mode' so your agent suggests responses even when someone isn't asking a direct question — it just needs to hear a trigger phrase. And switch on 'Auto-Respond' to let it generate answers live during the meeting."

9. Enable Final Proactive Setting
"Next is 'Speaking Bot (Voice Mode).' Toggle 'Enable Speaking Bot' to deploy a voice-interactive bot that actually speaks and responds via audio in real time. Then fill in the persona name, company name, language, and a bit of persona context so it sounds like your brand. One tip — voice mode shines in small, interactive sessions. For large webinars, the text-based Q&A dashboard usually works better."

10. Enable Auto-Post Feature
"Scroll to 'Auto-Post to Slack / Telegram' and toggle 'Enable Auto-Post' on. Now every AI-generated answer posts automatically to your team's channel in real time — no copy-paste needed. Pick your channel, add your bot token and chat ID, and your team can follow along live."

11. Add Another Offer Link
"Under 'Offer Links,' click '+ Add Offer Link.' These are the links your agent shares when relevant topics come up — your pricing page, a signup form, a resource guide. Add a title, the URL, and a short description. Click again to add as many as you need."

12. Add Trigger Phrase Field
"Now look at 'Trigger Phrases.' The preset already loaded a big list — pricing, how much, sign up, demo, free trial, and plenty more. Click 'Add a trigger phrase' to add your own. These are the words that wake your agent up and prompt it to answer."

13. Access Key Talking Points
"Scroll to 'Key Talking Points.' These are the brand facts and selling points your agent weaves into its answers — things like 'We offer a 14-day free trial with full access' or 'We have a 30-day money-back guarantee.' Click 'Add a talking point' to include your own."

14. Override Default Behavior
"Below that is the optional 'Meeting System Prompt.' Leave it blank to use the built-in prompt, or write your own to override the default behavior. The preset already fills in a solid webinar version — an expert Q&A assistant that keeps answers to two or three sentences since they'll get pasted straight into chat."

15. Save Configuration
"When everything looks right, click 'Save Config' in the top right of the panel. You'll see a confirmation that your meeting agent config was saved."

16. Update Agent Settings
"Finally, click the 'Update' button at the very top right to apply and finalize everything on your agent."

"And that's your webinar Q&A agent ready to go. It'll catch questions live, answer them instantly, share your offer links at the right moment, and keep your whole team in the loop. Next step? Run it in a real webinar and watch it handle the chat for you. Great work."
